Email for everyone: drafts, replies and send

Connect once, and Claude (through the Otium connector) can write email for you, whatever your role.

  • Draft a new email: "draft an email to Anna about the test plan, attach the spec from my OneDrive".
  • Reply in the same thread: "reply to Anna's last message" (or "reply all"). The reply lands in the same Outlook conversation with the earlier messages quoted below your text. Claude finds the message with a mailbox search.
  • Attachments: a file from your OneDrive (by path), or a file you gave Claude in the chat. Up to 10 files, 3 MB each.
  • Everything is saved in your Outlook Drafts. Nothing is sent. Open Outlook to read and send it yourself, or tell Claude to send it.
  • Sending is always your call. Claude shows you the recipients and subject and sends only after you say yes in that chat. It never sends on its own, from a rule or on a schedule.

Sales reps writing to prospects keep using the Sales AI drafts, which add the Salesforce checks. Those checks do not apply to this email feature.

What the new permission does

Email needs two Microsoft permissions: Mail.ReadWrite (find messages, create and change your drafts) and Mail.Send (send a draft you confirmed). They work on your own mailbox only. Without them your calendar sync and everything else keep working exactly as before. Today the connection can only read the calendar.

It is opt in per person: nothing changes until you click Connect email, at /admin/integrations/outlook/connect?feature=mail, and approve the Microsoft prompt. If Microsoft says an admin must approve, your Microsoft 365 admin grants Mail.ReadWrite and Mail.Send to the OtiumWork app once for the company. Until then the mail tools just say email needs permission. Each draft and each send is logged in Otium's audit log. To switch it off, remove OtiumWork's access in your Microsoft account.
